General Information & Terms and Conditions of booking

The Scoutscymru Water Activities Team (SWAT) now has a well established programme of Paddlesport and Sailing events in our Calendar. These events provide both Scouts and Leaders with the opportunity to be trained, such that they can enjoy their water activity in both a controlled and safe environment whilst retaining that element of adventure essential to developing self-reliance. The organisers of the events would welcome qualified coaches and permit holders to assist with the instruction on training weekends and leading on the cruises.

Camping

At each of these events (where camping is provided) it is expected that each attending group will be self sufficient in terms of submitting their own form NAN, holding appropriate level night's away permits, gaining parental permissions and medical information, and adhering to DBS procedures. However, if notified in advance, the organisers may be able to support groups without night's away permits. Responsibility for supervision and welfare of groups remains with the 'responsible adult' (camp leader) notified on the booking form. At least one adult must accompany each group on an activity and should supervise them at all times.

Responsibility for Young People

The Scouts Cymru Water activities team is only responsible for participants whilst they are being instructed by out team of volunteers. Once off the Water the responsibility reverts back to their leader unless by prior arrangement that SWAT has accepted responsibility for the event duration.

Promotional and Marketing

At certain times ScoutsCymru will use photographers and videographers to take pictures/videos at our events for use in our promotional material. If any members of your group do not want to appear in any such photography they should notify us prior to their visit and advise the Event Co-ordinator at the event upon arrival.

Permits

A Scout or Leader who wishes to take Scouts canoeing/sailing must first apply for a DC's Permit. All information and an application form are available from your local Area Commissioner, District Commissioner, and ScoutsCymru or downloadable from www.scouts.org

It is expected that all craft and associated equipment used on these events be fit for purpose. The organisers reserve the right to refuse individuals and or groups whose equipment is deemed not fit for purpose. Further Information is available from the TSA web site.

Booking

Bookings are only processed through our automated system on Yapsody : https://swat.yapsody.com. No booking is confirmed until full payment has been received by the event Lead Volunteer. We are unable to issue refunds once payment has been made. Bookings should only be made by current TSA Leaders. On events where an 'Early Bird' discount is offered no consideration will be made for discounts outside the set dates.

First Aid

The 'responsible adult' (camp leader) is responsible for the first aid for your group; we do not supply first aid kits in any buildings or any campsites/events. All SWAT coaches/instructors are qualified first aiders and will carry kits whilst on the water.

Equal Opportunities

The ScoutsCymru Water Activities Team will take all reasonable steps to ensure that all events are open to any member of the Association who wishes to participate in our events.

Force Majeure

ScoutsCymru shall not be liable for any delay in performing or failure to perform any obligation or alterations and cancellations due to any cause beyond ScoutsCymru reasonable control including strikes, lock outs, labour disputes, acts of God, war, riot, civil commotion, terrorism, malicious damage, threats to safety, compliance with any law or governmental order, rule, regulation, or direction, accident, environmental contamination, pandemic, outbreak of disease, breakdown of plant or machinery, fire, flood, storm, difficulty or increased expense in obtaining staff, materials, goods or raw materials in connection with the performance of this agreement.

Complaints

Where you have a complaint about a service or facility provided by ScoutsCymru SWAT, you should in the first instance contact the Scout Active Support Manager, Eryl Williams to discuss your concerns. Failing the above, formal complaints should be sent in writing to the Wales Chief Commissioner. The response will include details of any actions we intend to take.

Experience

Proof of experience must be available for inspection prior to an assessment. Training sessions of a similar period will be acceptable provided that this is confirmed in writing by a coach or leader prior to assessment. This Log Card will be a vital part of the candidate's next assessment and assessment will not take place until proof of experience is produced to the level indicated above. Experience can be obtained at any of the following: Completion of any ScoutsCymru Canoe Cruise, Attendance at ScoutsCymru training weekends, Attendance at a District or Area approved Cruise or training event. Remember – No Log of Experience = No Assessment

The decision of the ScoutsCymru Water Activities Team (SWAT) Active Support Committee will be final in all cases.
